Payroll & Payables Administrator

Payroll & Payables Administrator

Accounts Payable

  • Receive, review and process supplier invoices in an accurate and timely manner.
  • Apply correct coding and cost allocation in line with company policies.
  • Check invoices to Purchase Orders ensuring they have been approved according to company policies.
  • Reconcile supplier statements and resolve discrepancies.
  • Submit payment runs reports ensuring that all payment requests are fully supported by valid/approved invoices.
  • Maintain up-to-date supplier records, including bank account details.
  • Foster strong vendor relationships by addressing queries and aligning expectations.
  • Monitor the Accounts Payable inbox, ensuring all communications are actioned in a timely manner.
  • Maintain all records always reconciled for accounting purposes.

Payroll

  • Prepare and submit gratuity and tip pools in line with company policy.
  • Accurately calculate employee pay, considering hours worked, overtime and other allowances/deductions.
  • Review timesheets for accuracy and compliance.
  • Record and process employee leave, vacation and sick leave in accordance with company policies.
  • Monitor and respond to employee queries via the Payroll inbox, providing timely support.
  • Prepare and submit pension reports.
  • Maintain all records always reconciled for accounting purposes.
  • Process health insurance invoices for payment and reconcile health insurance deductions against monthly invoices.

QUALIFICATIONS:

  • Degree in Business and Finance or Accounting or working towards completion would be advantageous.
  • Minimum 2 years of experience within bookkeeping, finance or accounting required.
  • Exceptional quantitative and analytical abilities.
  • Ability to handle multiple tasks and work well in environment with time constraints.
  • Ability to troubleshoot effectively.
  • Strong computer software skills including Microsoft Office (*accounting software)
  • Detail-oriented with excellent organizational skills, performing work accurately and efficiently.
  • Demonstrated excellent communication skills, both oral and written.
  • Must be comfortable to work a flexible schedule including work outside of normal business hours i.e. evenings, weekends and public holidays, as needed.

Salary : US$45,000 – US$55,000 pa
